Please note this process is only applicable for Baseball and Softball and does not apply to Rookie Ball (Tee Ball, Coach Pitch, or Machine Pitch). Rookie Ball games will be rescheduled by the Rookie Ball Commissioner.
Managers, make sure you pay special attention to this process. The manager is responsible for making every reasonable effort to reschedule all games cancelled for inclement weather or for any other reason. Home teams are responsible for rescheduling games. You can find available fields by reviewing the Master Field Schedule on our website and work with the opposing team to pick a date that works best for both teams.
Once you have agreement from the opposing manager, you must make positive confirmation with us via BKLScheduler@KhouryLeague.org so that umpires and field crew can be scheduled as well. Be sure to include the date and time of the game, your name and team code (e.g., BK3), your opponent's name and team code (e.g., MV4), your age division, and the location (i.e., field) for your game. If you do not receive a confirmation from us within a day or two, please follow up! If we have a lot of rainouts this year, it may take a little more time because there may be quite a backlog. Please also note that fields will be scheduled on a first come, first serve basis. Therefore, there may be times where we have to respond back that the field is no longer available.
It is recommended that you reach out to your team once schedules are available to determine availability. If you know you are not going to have enough players for a game, let the opposing team know and start the rescheduling process immediately.
If you need to reschedule a game for a legitimate reason, please be sure to do so as far in advance as you can. Waiting until the day of the game is strongly discouraged and should not be done except on an emergency basis, because in all likelihood, it will cause confusion and then frustration and then complaints.
Be sure to make positive contact with the opposing manager so that you are absolutely sure the message is received. If you leave a voice mail, be sure to ask the manager to call back to confirm. If you send an email, be sure to ask the manager to respond to your email to confirm. If you do not get a confirmation, please continue to follow up to ensure that your game has been cancelled. Once you have agreement from the opposing manager, please also ensure you make positive confirmation with us via BKLScheduler@KhouryLeague.org. Be sure to include the date and time of the game, your game ID, your name and team code (e.g., BK3), your opponent's name and team code (e.g., MV4), your age division, and the location (i.e., field) for your game. Legitimate reasons include: a school function such as a concert, graduation, a church function, or some other major organization function. This does not include birthday parties or vacations; we have found that when we try to work around too many such events, it becomes nearly impossible to get all games rescheduled.
